Job Summary:
As the Executive Assistant to the Chief Executive Officer (CEO), you will play a pivotal role in providing comprehensive support to the corporate leadership team, senior staff, and key stakeholders. Your responsibilities will encompass managing calendars, coordinating travel arrangements, drafting correspondence, maintaining contact databases, and overseeing various administrative tasks. Additionally, you will manage board-related activities, including communication, meeting coordination, and documentation.

Essential Job Duties and Responsibilities: (Additional duties may be assigned)
Executive Support:
- Provide high-level executive support to the CEO, corporate leadership team, and senior staff as needed.
- Coordinate daily interactions with key stakeholders, including members and government partners.
- Prepare bimonthly board of directors reports and assist with other reporting requirements as necessary.
- Manage calendars and scheduling for the CEO, ensuring efficient time management.
- Coordinate travel arrangements, including airfare, hotel accommodations, rental cars, and car services.
- Maintain up-to-date contact databases, including new directors, investors, and other relevant contacts.
- Prepare monthly expense reports for visa and other expenses, as well as monthly mileage reports.
- Draft and review correspondence on behalf of the CEO.
Board and Committee Management:
- Facilitate communication with the board on a regular basis, including managing bimonthly luncheon meetings.
- Calendar meetings annually and schedule agenda review sessions with the chair.
- Coordinate venue reservations and prepare necessary materials for board meetings.
- Draft and distribute board minutes and updates to investors once approved.
- Manage the corporate drive with meeting minutes and update the website with new director information.
- Schedule and conduct new director orientations.
Executive Committee Management:
- Coordinate annual committee calendars and meetings, including venue reservations and meeting material assembly.
- Schedule virtual meetings via Teams when necessary and ensure committee lists are updated.
Community and Industry Partner Meetings:
- Calendar annual meetings and schedule agenda discussions for staff and chair review.
- Create and distribute meeting invites to community and industry partners, as well as update committee lists accordingly.
Administrative Support and Other Duties:
- Maintain governance lists and provide support to the nominating committee.
- Assist colleagues as needed and manage daily mail, including USPS postings.
- Order stationery and envelopes as necessary.

This position has no supervisory responsibilities.
Position Type and Expected Hours of Work
This is a temp to hire full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 4:30 p.m. but can be flexible as agreed to by portfolio leads.
Travel
No travel is expected for this position.
Minimum Required Education and Experience:
- Associates degree preferred.
- Proven experience as an executive assistant or similar role.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to handle confidential information with discretion.
- Prior experience in board and committee management preferred.

Physical and Mental Requirements:
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
